Front Desk Coordinator

Magnetic, an Internet development company founded in 1997 and celebrating our 12th anniversary seeks a full-time Front Desk Coordinator to oversee all aspects of the day-to-day front desk and assume executive assistant and support responsibilities. As a Front Desk Coordinator for Magnetic, you will be responsible for presenting a polished first impression of Magnetic and maintaining a high level of internal and external customer satisfaction. The ideal candidate should display meticulous accuracy, have excellent time management and multitasking skills, and be comfortable working within deadline constraints.

Responsibilities include and may not be limited to:

  • Create and maintain a positive impression of Magnetic for external clients consistently through various communication media;
  • Answer the multi-line phones system and professionally administer all calls;
  • Greet guests in a friendly and professional manner;
  • Manage office supply inventory, facilitate inventory replenishment and coordinate supply ordering;
  • Assist in the monitoring of daily, weekly, and monthly time tracking and sales processes;
  • Assist with monthly data entry for invoicing;
  • Assist in the document gathering process for monthly accounting functions;
  • Coordinate all details of and facilitate group meetings, events and travel;
  • Administrative support to management as necessary;
  • Assist Management in on-going systems improvements and enhancements;
  • Occasional attendance and executive support at off-site meetings; and
  • Assist Management in the completion of special reports and/or projects as required.
Qualifications:
  • Proficiency with multi-line telephone systems;
  • Strong computer literacy including experience with the Microsoft Office suite of products;
  • 2-3 Years of experience or college coursework towards a Business or Financial Degree;
  • Outstanding verbal and written communication skills;
  • Strong analytical and interpersonal skills;
  • Willingness to follow direction and comply with internal processes;
  • Ability to prioritize activities on a daily basis to accomplish project goals with minimal supervision;
  • Strong desire to outperform, achieve and learn new technologies and skills;
  • Ability to:
    • Deal effectively and tactfully with a wide variety of external and internal customers in person, via telephone and in writing;
    • Work independently to resolve practical problems;
    • Work well under deadline, despite interruptions;
    • Compose correspondence on behalf of Executives;
    • Interact within a team environment; and
    • Perform with an exceptional attention to detail.
  • Reliability, punctuality and professional demeanor and appearance are essential.
